Geo-fenced attendance is a system where an employee can only mark attendance when their phone's GPS location falls inside a virtual boundary you draw around a site. Step outside the boundary and the punch-in button simply doesn't work. It's the standard answer for businesses whose staff don't sit at one desk — field sales, service engineers, security guards, construction crews, retail chains and distributed branch offices.
How a geofence actually works
You pick a location on a map and set a radius — typically 50 to 200 metres. That circle becomes the geofence. When an employee opens the attendance app:
- The app requests the device's location from GPS, plus Wi-Fi and mobile-tower signals.
- It calculates the distance between that coordinate and the centre of your geofence.
- If the distance is within the radius, attendance is recorded along with the exact coordinates and timestamp.
- If not, the punch is blocked or flagged for manager approval, depending on your policy.
Good systems store the coordinates with every punch, so you get an audit trail rather than just a tick mark.

Most companies need geofencing. Fewer genuinely need continuous tracking — and switching it on without telling staff is the fastest way to destroy trust in the system.
Where geo-fenced attendance goes wrong
Anyone selling you a geofence without mentioning these is not being straight with you.
- GPS drift indoors. Inside a factory shed or a basement, accuracy can degrade to 50–100 metres or worse. Set your radius generously or you will get false rejections every morning.
- Mock-location apps. Android allows fake GPS apps. Any serious system must detect developer mode and mock providers — ask the vendor to demonstrate this, not just claim it.
- Battery optimisation. Aggressive power saving on some Android phones kills background location. Punches fail and staff blame the app.
- Device sharing. A geofence proves a phone was at the site, not a person. Pair it with a selfie punch or face match if buddy punching is a real risk for you.
- No offline mode. Sites with poor connectivity need the app to queue punches locally and sync later, with the original timestamp preserved.
What to check before you buy
- Can you set a different radius per site? A 50m radius suits a retail shop; a 200-acre plant needs a polygon, not a circle.
- Does it support multiple geofences per employee — a service engineer covering six client sites, for example?
- Is there an exception workflow? Genuine out-of-fence work happens. Managers need to approve, not employees to bypass.
- Does attendance data flow straight into payroll, or will someone re-key it into Excel every month? This is where most of the ROI actually lives.
- Are shift rules, overtime and leave handled in the same system, including India-specific rules like weekly offs and compensatory offs?
- Does it produce statutory-ready registers for labour inspections?
Do you need to tell employees?
Yes — and you should want to. Location data collected about an identifiable person is sensitive. Publish a short written policy covering what is collected, when, why, who can see it and how long it is retained. Get acknowledgement in writing. Beyond the legal comfort, transparency is what stops the system being quietly sabotaged.
Is geofencing better than biometric attendance?
They solve different problems. A fingerprint or face terminal at a fixed gate is more precise and needs no phone — ideal for a single factory or office. Geofencing wins the moment your people are spread across sites where installing hardware everywhere makes no sense.
